The Travel Concierge is not liable for any denied boarding, denied entry, deportation, delays, or losses
incurred due to missing, expired, or improper documentation. No refunds will be provided for missed
portions of travel due to documentation issues
5. Pre-Existing Medical Conditions
Traveler is solely responsible for evaluating their own fitness to travel and warrants that they are not traveling against the advice of a physician. The Travel Concierge is not liable for any health-related incidents during travel, including those resulting from pre-existing conditions or inadequate medical preparation.
6. Fees & Service Charges
Planning Fee: A non-refundable planning fee is required before any itinerary work begins.
Concierge Fee: Additional concierge services (e.g., hard-to-get reservations, event access) may carry separate fees, disclosed up front.
Change Fees: Itinerary modifications after confirmation are subject to service fees in addition to any supplier change penalties.
Cancellation Fees: Cancellations incur The Travel Concierge’s cancellation fee, regardless of supplier refund policy.
Late Payments / Chargebacks: Clients agree to make timely payments and waive the right to initiate chargebacks except in cases of clear fraud. Disputes must be addressed directly with The Travel Concierge first.
7. Deposits & Payments
Initial Deposit: Most bookings require a deposit to secure arrangements. Deposits are non-refundable unless otherwise specified by the supplier.
Final Payment: Full payment is typically due 60 to 120 days prior to departure, depending on the travel provider’s terms. Failure to pay on time may result in cancellation without refund.
Payment Authorization: By providing payment information, Traveler authorizes The Travel Concierge to charge the applicable fees to their card or account on file.
Cruise Deposits: Cruise lines often require substantial deposits. Final payments are strictly enforced by cruise suppliers, and non-payment typically results in cancellation with no refund.
Airfare Payments: Airfare must often be paid in full at time of booking. Airfare is typically non-refundable and non-transferable once ticketed. Name changes are generally not allowed. Always verify terms before ticketing.
8. Cruise and Air Travel Policies
Cruise Line Terms: Cruises are governed by the terms and conditions of each cruise line, which may include strict cancellation penalties, health and safety protocols, and required documentation. Traveler is responsible for reviewing and accepting those terms.
Airfare Restrictions: Air tickets are subject to airline fare rules. Most are non-refundable, non-transferable, and non-changeable once issued. Travelers are responsible for reviewing their ticket terms and for securing valid identification and documentation (including visas or passports, if applicable).
Schedule Changes: Airlines may modify flight schedules, and The Travel Concierge is not responsible for missed connections or airline changes.
9. Change & Cancellation Policies
Supplier Policies Control: All changes and cancellations are subject to the policies of the individual travel suppliers (airlines, cruise lines, hotels, tour operators, etc.). The Travel Concierge has no authority to override or amend these terms.
Cruise Lines: Cruise changes or cancellations are governed strictly by the cruise line’s terms. Penalties often escalate as the departure date nears, and cancellations can result in 100% loss of funds.
Airfare: Most airfares are non-refundable. Changes are limited and may not be allowed at all, especially for basic or discounted fares. If allowed, change fees and fare differences will apply.
